There’s a lot of advice out there on how to get freelance clients, but I almost never see advice on what to actually DO with the clients once you have them. I aim to change that. In this blog post, I’ll share with you how to manage blogging clients with a content calendar.

One of the most important qualities you can have as a freelance writer is being reliable. That means turning in assignments on time (and hopefully early!). It might be easy to manage with one client, but once you start juggling multiple clients, it becomes more and more difficult to stay organized.

Every client is unique, and your content calendar should reflect that. Customizing your calendar to fit each client's specific needs ensures that the content you produce aligns perfectly with their brand and goals. Here’s how you can tailor your content calendar effectively:
Brand Voice and Tone
Each client will have a distinct brand voice. For example, a tech startup might prefer a casual, innovative tone, while a financial services firm might require a more formal and authoritative voice. Include notes in your content calendar about the desired tone for each client to ensure consistency across all content. I usually either paste or link to the tone of voice document in another tab. This way, when I sit down to write, I have all the information I need in one place.
Target Audience
Understanding the target audience is crucial for creating relevant content. For instance, if you're writing for a client in the health and wellness industry targeting young professionals, your content might focus on quick, healthy recipes and stress management tips. Include audience demographics and psychographics in your calendar to guide your content creation. Again, when I receive this information from the client, I paste it into another tab in the content calendar.
Content Themes and Categories
Different clients will have varying content themes. A fashion brand might focus on seasonal trends and styling tips, while a B2B software company might emphasize case studies and industry insights. Use your content calendar to categorize content themes, ensuring a balanced mix that covers all necessary topics.
Client-Specific Events and Campaigns
Align your content with client-specific events or campaigns. For example, if a client is launching a new product, plan blog posts that build anticipation and provide detailed information about the product. I often have a column called “Products Mentioned” to make sure that I’m talking about a healthy mix of my clients’ best products.
SEO and Keywords
Tailor your SEO strategy to each client’s needs. For example, a local business might focus on geo-targeted keywords, while an e-commerce client might prioritize product-related keywords. Include these keywords in your content calendar to ensure they are integrated into your content strategy. You can also add columns for supporting keywords and PAAs.
Due Dates, Upload Dates, and Publish Dates
Every client has different needs when it comes to the approval and upload process of blog posts. Some clients have no approval process whatsoever, and they just want you to upload your posts when you’re finished. Some will have an extensive legal review before it’s ready to publish. Some will have their developer upload the blog posts. This is something you can talk to your clients about when you have a kickoff meeting, then customize the blog content calendar to meet their needs.
Collaborating with Clients
Involve your clients in the content planning process by sharing the content calendar with them. I usually plan all the topics for a quarter, then share the calendar with the client. Very important tip: do NOT begin writing any blog posts until all the topics are approved.
